TERMS & CONDITIONS

1-. TOUR BOOKINGS AND PAYMENTS

Payment can be made using either Visa, Mastercard, PayPal or direct transfer to our bank account. Credit cards 3% processing fee to each transaction will be charge additionally.
To book a tour, a non-refundable registration fee of USD200 needs to be paid to secures your spot on the tour.
A confirmation deposit of USD1.000 (may be more for some event tours) is required 60 days out from the start of the tour. This allows Epic Rides Chile to reserve your hotel rooms and other third-party services provided in the tour.
The full balance of the tour cost is due no less than 45 days prior to the start date of the tour. If you do not pay for your tour in full 45 days prior to the start date of the tour, Epic Rides Chile reserves the right to cancel any hotel and other third-party services held for you. Epic Rides Chile cannot guarantee a hotel room will subsequently be available in the hotels selected for the tour.
If, at the time of booking, there is less than 45days until the date of tour commencement, full payment is required on booking.

2-. CANCELLATION POLICY

YOU CANCEL

We understand that circumstances can arise that prevent you from taking your planned trip. However, organizing the tour also involves a lot of upfront workload, as well as advance payments to book hotels, restaurants, and other third-party services. Epic Rides Chile use, the cancellation fees below apply.

More than 45 days before start the tour – Payments will be refunded in full (less non-refundable event registration fees).
45- 30 days before start the Tour – 50% of total of Total payments will be refunded (less non-refundable event registration fees).
Less than 30 days before start the Tour – No refund will be made.

Epic Rides Chile will make no exceptions to our cancellation policy, irrespective of personal or external factors. This includes but is not limited to weather, personal emergencies, late arrivals, early departures, majeure force reasons or any other type of situation.

In the event that someone does not want to cancel but rather transfer their reservation to a third person, It can be done. The holder of the reservation must send a transfer request email to Contacto@epicrideschile.cl along with the personal data of the person who will take his place. The request must be made at least 15 days before the start of the tour.

In the event that someone does not want to cancel but rather change their reservation to another tour, it can be done subject to availability. The reservation holder must send a tour change request email, mentioning the tour they would like to take. Only tours already schedule and published in our website could be selected. For higher value tours, payments must be adjusted. For those of less value there will be no refund due to administration costs. We'd love to help you fulfil your riding adventure, so contact us to discuss.

We strongly advise guests to take up comprehensive travel insurance that will cover the costs of cancelling your tour as well as other associated travel arrangements you have made.

WE CANCEL

Epic Rides Chile reserves the right to cancel or postpone any tour without prior notice, due any reason that the organization considers valid to prevent the tour from taking place.

In the event that we cancel a tour due to lack of attendance or for any other reason that did not involve prepaid expenses, the tour fee will be fully refunded less a $USD200 administration fee.

In the event we cancel a confirmed tour due weather condition, natural disasters, social violence demonstrations or any other reason we consider it might compromise the safety of our participants Epic Rides Chile reserves the right to re-schedule the tour to a future date. If the new dates are not acceptable you are entitled to;

75% of reimbursement due third parties prepaid expenses involved.
Transfer your new date reservation to a third person.
Change your reservation to another upcoming tour, published on Epic Rides Chile website.

We strongly recommend you take up suitable travel insurance in a timely fashion to cover cancellation fees and any other costs that may arise should your trip be cancelled or postponed.

3-. WHAT'S INCLUDED & NOT INCLUDED

All tours, unless stated otherwise, INCLUDE:

* Epic Rides Chile carefully selects those hotels that can provide the right combination of comfort, quality and hospitality. The chosen hotels are usually four stars rating, however on occasions we reserve the right to conveniently choose different type of accommodation, , either because those places do not really reflect the standard and charm of the their locations, because accommodation could be limited on the course of the route and there is not enough availability or simply because the route does not allow you to choose another level of accommodation other than those available, in any case you can be sure that Epic Rides Chile will always choose the best possible accommodation so you can enjoy a well deserved rest.

* If you are travelling alone, we will assign you a roommate of the same gender. There is no extra charge if we are unable to find you a roommate. If you are travelling as a couple, please indicate this on booking, so can ensure you have a double-bed. If you would like your own room, there is a single supplement charge applicable to the tour.

NOT INCLUDED:

4-. YOUR OBLIGATIONS

Select a tour suitable to your abilities. You must be in full physical, mental and cycling capacity to participate in the event to which you register. You must be in adequate medical condition to perform all the activities that will take place during the chosen tour. You agree to wear a cycling helmet at all times whilst riding the bicycle.

You must notify us of any medical issue that may impact your cycling, or be of concern in an emergency. To the extent that Epic rides Chile can provide such information to relevant persons in the event of an emergency. Also you must notify us of any special diet, food preferences or food prohibitions. Epic Rides Chile will not assume responsibility or liability for any outcome.

You must agree to accept any decision of the organization, staff or monitors, regarding your ability to continue carrying out the activities, either for security reasons or to avoid delay the normal performance of the activity and the rest of the participants. Epic Rides Chile reserves the right to not allow you to ride if you are in a state that may affect your safety and/or that of others.

Although it is true that Epic Rides Chile will assist with hydration, snacks and supplements on the road, it is the full responsibility of each participant to approach the support vehicles as well as collect their own hydration and food for each of the scheduled routes. As a general rule, hydration is recommended every 30 minutes, and 50-60 grs. carb/hour. In the same way, it will be the responsibility of each participant to wear the appropriate clothing according to the expected weather conditions.

We strongly recommend you take up comprehensive insurance. Ensure your insurer is clear about the activities you will be undertaking during your travels. Cover should include but is not restricted to baggage, health, travel, loss, damage, theft, accident, repatriation and cancellation charges. If you are bringing your own bicycle, we recommend you check your insurer will cover your bike in all circumstances to a suitable value.

In case you are under 18 your participation on the tour needs to be approved before confirmed. You must be accompanied by a parent or guardian at all times, and responsibility always rests with the parent or guardian. If this is the case, we encourage you to contact us in order discuss it and find the best solution.

Epic Rides Chile will not assume responsibility or liability for any loss, theft, accident or damage to persons or their personal effects sustained before, during or after the tour. Nor for any travel restrictions, extensions, isolation or quarantine requirements, or illness due to Covid-19, or any other personal or public health issues before during or after the tour.

5-. RELEASE

You properly acknowledge and agree that you understand the inherently risky nature of cycling and that you are qualified, in good health and physically fit to ride the course for which you will be registered. These risks may involve dangers of serious bodily injury, including permanent disability or death, caused by your own actions or inactions, or others, and you fully accept and assume all such risks and all liability for loss, cost and damage to the that may occur as a result of your participation in such cycling activity.

I also understand all risks associated with my sports equipment and property during the course of the event (i.e. bike, watch, power meter, etc.) and assume full responsibility for any damage, theft, or loss that any of these may suffer.

In the same way, Epic Rides Chile will not be responsible for any damage suffered as a result of any act or failure that is beyond its reasonable control and that is due to reasons of force majeure, among these; war, strike, riot, crime, or an event described as an act of God, such as storms, floods, earthquakes, etc.

You hereby release, discharge and covenant not to sue Epic Rides Chile, its respective administrators, directors, agents, officers and employees (collectively "Releasees") from all liabilities, claims, demands, losses or damages caused or alleged to be caused in whole or in part by the negligence of the Releasees or otherwise. You further agree that if, despite this Release, you or anyone acting on your behalf, makes a claim against any of the Releasees, you will indemnify, save and hold harmless each of the Releasees from any expenses, losses, liability, damage or cost which any may incur as a result of such claim.

6-. PRIVACY POLICY

The use of personal information you may supply to us through our website or email will be strictly confidential and used only for the purpose for which it is submitted or for such other secondary purposes that are related to the primary purpose. We may engage third parties to provide you with goods or services on our behalf. In that circumstance, we may disclose your personal information to those third parties in order to meet your request for goods or services. Also, in special situations where we have reason to believe that doing so is necessary.

By taken a tour with Epic Rides Chile customer gives express permission to make promotional use of the photographic and video material obtained from costumers on the tour without prior notice or payment of compensation, as well as personal information obtained to contact costumers regarding future events or promotions offered by Epic Rides Chile.

We will endeavor to take all reasonable steps to keep secure any information which we hold about you, and to keep this information accurate and up to date. If, at any time, you discover that information held about you is incorrect, you may contact us to have the information corrected. In addition, our employees and the contractors who provide services related to our information systems are obliged to respect the confidentiality of any personal information held by us.

The Epic Rides Chile website (Site) contents are copyright by Epic Rides Chile. Permission is granted to electronically copy and to print hard copy portions of the Site for the sole purpose of placing a booking with Epic Rides Chile or using the site as a shopping resource. Any other use of materials on the site, including reproduction for purposes other than those noted above, modification, distribution or republication, without the prior written permission of Epic Rides Chile is prohibited.

We reserve the right, at our discretion, to modify this T&C at any time, therefore periodic review is recommended so that you are updated on any changes.

7-. ON THE ROAD

INITIAL DAILY TALK: Every day there will be an initial talk where the indications of the day will be delivered. Initial equipment check; bicycles, food, hydration, etc. Strategy for the day, safety regulations, emergency numbers, position of monitors, regrouping points, difficulty of the route, location of support vehicles, etc.

ITINERARY CHANGES: Epic Rides Chile monitors may be required to improvise or make changes either on the course or on the itinerary due to circumstances beyond our control. Such decisions will be based on tour knowledge and experience, and are made in good faith for the benefit of the group as a whole.

MECHANICAL COVER: Tour leaders will carry basic spares. Minor repairs and maintenance will be undertaken on the road by one of our mechanically experienced tour guides. Any more serious mechanical issues will be handled by one of the small, professional cycle shops along the way. The cost of major repairs and spare parts will be passed on when the tour ends.
